Introduction:

As the humanitarian relief and development arm of The United Methodist Church, the United Methodist Committee on Relief (UMCOR) assists United Methodists and churches to become involved globally in direct ministry to persons in need. UMCOR Global Migration sub-unit seeks to alleviate suffering of refugees and migrants globally through grants-making and representational work and advocacy.

Job Summary

UMCOR’s US Disaster Response unit is seeking a Program Assistant with a desire to be part of a mission-driven organization to enhance workflow and execute tasks to support the unit’s grant-making and capacity building of UMCOR partners.

Essential Task Functions

  • Processes grants, contracts, and payments for Disaster Response program staff and consultants and assure the accuracy of grant-related documentation and forms
  • Provides direct, administrative support the Program Director through calendar maintenance and scheduling appointments, travel and logistics, and facilitating interoffice communications.
  • Assists with maintaining the electronic filing and tracking systems in accordance with our standardized conventions
  • Schedules and prepare for program meetings and draft meeting minutes.
  • Organizes and prepare reports and/or written summaries and other materials as requested by related program staff.
  • Performs other duties as assigned.

Required Education, Experience and Qualifications

  • HS diploma with equivalent work experience. Associates Degree preferred.
  • Minimum 3-4 years administrative assistant experience supporting high level manager preferably being responsible for supporting more than one manager/initiative/program at the same time.
  • Experience managing projects and complex workflow.
  • Proficient with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Knowledge of disaster relief, work of UMCOR, and UMC Structure a plus.
  • Strong interpersonal, written and oral communications skills.
  • Solid organizational skills and attention to detail.
  • Enthusiastic, self-starter, able to be effective under pressure and be flexible.
  • Ability to maintain confidentiality of information.
  • Ability to understand and respect cultural, religious and political environments and to use diplomacy when working with staff, partners, and stakeholders.
  • Comfortable working in a faith-based context.
